Can Claude Record and Transcribe Meetings? Turning a Teams Recording Into Minutes
No, Claude does not join or record calls. Here is the real workflow for turning a Microsoft Teams recording into minutes with decisions and actions, plus a prompt to copy.
The short answer: No. Claude does not join a call or record it, and as of writing it is not a meeting bot (check Anthropic's current documentation, because its apps change quickly). What works is a two-step routine: let Teams record and transcribe the meeting, then give the transcript to Claude and ask for minutes with decisions and actions.
If you are the office manager or executive assistant who writes up the weekly management meeting, you have probably typed this question into a search box: can Claude record my meeting and give me notes? The honest answer is "not by itself", and the part Claude can do is the part that takes you an hour. This guide walks through the real workflow, with a prompt you can copy, using a Microsoft Teams recording as the example. For the engineering side (Power Automate and the Graph API), see our longer guide on using Claude with Teams meeting transcripts.
What Can Claude Actually Do With a Meeting?
Think of the job in four parts: capture the audio, turn it into text, understand the text, and write the minutes. Claude is strong at the last two and does not do the first.
Who does what
- Record the meeting — Teams, Zoom or Google Meet. Claude does not join the call as a participant. Someone with the right meeting permissions has to start the recording.
- Transcribe the audio into text — Teams, Zoom or Meet do this when transcription is switched on. Whether Claude itself can transcribe a raw audio file depends on the app and plan you use, so check Anthropic's current documentation before relying on it.
- Read a transcript file — Yes. Paste the text, or attach the exported file where your Claude plan allows file uploads.
- Summarise and extract decisions and actions — Yes. This is where Claude saves the time.
- Draft the minutes and the follow-up email — Yes, in the format you ask for.
- Send the minutes or create tasks — Not on its own. A person sends it, or an integration you set up with IT does.
How Do I Turn a Teams Recording Into Minutes? (5 Steps)
1. Start transcription before the meeting begins. In the meeting, choose the recording and transcription option and tell everyone it is on. Transcription needs to be allowed by your Teams meeting policy, which an administrator controls, so if the option is missing, ask IT rather than working around it.
2. Let Teams finish processing. After the call ends, the recording and transcript appear in the meeting's chat or recap. A long meeting can take a few minutes.
3. Download the transcript. Open the meeting recap and download the transcript file (Teams offers text formats such as .docx and .vtt; check Microsoft's current documentation for the exact menu, because it moves). Do not use the recording video itself.
4. Give the transcript to Claude with a clear prompt. Paste the text or attach the file, then use the prompt below.
5. Check the minutes, then send. Spend two minutes checking names, dates and anything marked "unclear" before the minutes circulate.
A minutes prompt you can copy
- Role and goal — "You are taking minutes for a weekly management meeting. Use only what is in the transcript below."
- Header — "List the attendees named in the transcript and the date if it is stated."
- Decisions — "List each decision as one sentence. Say 'no decision' if a topic ended open."
- Actions — "List every action as: owner, task, due date. If the owner or the date was not said, write 'owner not stated' or 'date not stated' instead of guessing."
- Open questions — "List anything that was raised but not resolved."
- Rules — "Do not invent names, numbers or dates. Quote the exact phrase for any number. Flag unclear passages."
The last rule matters most. A summary that quietly drops a commitment is worse than no summary, because people stop listening on the assumption someone captured it.
What If We Use Zoom or Google Meet Instead?
The routine is the same; only the place the transcript lives changes.
- Zoom — A cloud recording can produce an audio transcript file that you download from the recording page. Which plan includes it varies, so check Zoom's current documentation.
- Google Meet — On Google Workspace editions that include it, a Meet transcript can be saved as a document to the meeting organiser's Drive. If your office is on Workspace, see our guide to Gemini meeting notes in Google Meet, because Gemini's built-in notes may be all you need.
Claude or Teams Premium and Copilot for Minutes?
Microsoft sells AI meeting notes inside Teams (Teams Premium, and Microsoft 365 Copilot recaps). Claude is not a replacement for that, it is a different trade-off.
Side by side
- Cost driver — Teams Premium and Copilot are per-user licences, whether or not people use them. Claude is a subscription or usage charge you pay separately. Check Microsoft's and Anthropic's current pricing instead of trusting any figure written in a blog post. Our Microsoft Teams pricing page shows how Teams licensing is priced with Brocent.
- Where the data goes — With Microsoft's built-in recap, the meeting content stays inside your Microsoft 365 tenant. With Claude, you are copying the transcript out to another service, so decide that on purpose.
- Control of the output — Microsoft decides the layout of its recap. With Claude you decide: your project codes, your action-item format, the tone of the follow-up email.
- Language — Check the transcription language support in Teams for Cantonese, Mandarin and Japanese, because the minutes can only be as good as the transcript. Mixed-language meetings are the usual weak spot.
For a Microsoft 365 office that wants good-enough notes with no setup, the built-in route is the sensible default. Claude earns its place when you want your own format, or when the transcripts come from several tools.
What Should We Settle Before Anyone Presses Record?
Recording is a data-protection decision before it is a productivity one. For a Hong Kong office, think about the data protection principles in the Personal Data (Privacy) Ordinance: tell people why you collect their voice and words, use it only for that purpose, keep it secure, and do not keep it longer than needed. In practice that means four decisions.
- Consent and notice — Tell attendees at the start that the meeting is recorded and transcribed and that an AI tool will process the transcript. Clients and outside guests need the same notice.
- Scope — Exclude HR and disciplinary talks, legal advice, board and pay matters. Do not paste those into any AI tool.
- Who can export — Limit who can download transcripts, and keep them in a managed SharePoint or OneDrive location, not on personal drives.
- Retention — Decide how long recordings and transcripts live and configure a retention policy, so they do not pile up silently.
Brocent configures Teams policy for recording, transcription and retention as part of its Microsoft Teams solutions, and can advise on which AI tools your staff may use in our AI support service. If you would like the policy set up for you, talk to our team, or read how our IT support covers the day-to-day Microsoft 365 administration.
Frequently Asked Questions
Can Claude join my Teams call?
No. Claude is not a meeting participant and does not attend calls as a bot, as of writing. Teams records the call and produces the transcript, and Claude works from that text afterwards.
Can Claude record my meeting and give me notes?
Not by recording it itself. You record in Teams, Zoom or Meet, then give Claude the transcript and ask for minutes. The notes come from the second step.
Can Claude transcribe an audio file?
That depends on the Claude app, plan and features available when you read this, so check Anthropic's current documentation. The dependable route is to use the transcript your meeting tool already produced.
How do I connect my meeting notes to Claude?
The simplest way is to paste the transcript or attach the file. Connecting automatically, for example from a SharePoint folder, needs a Microsoft 365 connector or a Power Automate flow set up with admin approval. Ask IT before connecting company data.
Is it safe to paste a transcript into Claude?
Only if the content is allowed to leave your tenant. Read the data terms of the plan you actually use, keep sensitive meetings out, and follow your company policy. See the data-handling section above.
Does it work in Chinese or Japanese?
Claude can write minutes in Chinese or Japanese, but the quality depends on the transcript. Check how well Teams transcribes your meeting language first, and review names and numbers carefully.
